What is WorkGrow's 'Proven WorkFlow' exactly?

At WorkGrow, we employ a strategic, four-phase 'Proven WorkFlow' approach in steering your Zoho project to success. These phases reflect our learning and experience from many complex technology projects (Interesting fact, we completed out first projects in the 1990s!):

  1. Learning First (Pre-Sales)
  2. Mapping the Journey

What happens in the 'Learning First' phase?

Learning First, also known as the Pre-Sales phase, is a stage where you're not expected to make any payments. We consider it fair to allocate time to familiarise ourselves with your business's specific Zoho needs, providing you a glimpse of our working style and a preliminary idea of the costs involved.

Throughout the Learning First phase, we strive to understand your business and Zoho needs. This involves a high level study of your operations and procedures, typically spanning 30 to 60 minutes. Our goal is to comprehend your current and proposed processes adequately, setting a solid foundation for the phases to follow.

Upon completion, we provide an 'Intelligent Estimate' for the 'WorkHours' required to navigate the subsequent 'Mapping the Journey' phase. This usually ranges from 4 to 24 hours, with most projects falling between 8 and 16 hours.

Should you decide to proceed, you can purchase your first 'WorkHours' package, and we'll embark on the next phase!

What does the 'Mapping the Journey' phase entail?

In the Mapping the Journey phase, we curate a detailed roadmap for your Zoho success, specifically tailored to your project. This phase typically involves an on-site or remote workshop with key stakeholders, during which you're encouraged to provide any relevant information, including spreadsheets, data, quote templates, invoice templates, etc.

Using this information, we generate various design documents, including process maps and field specifications. These documents are structured to be understandable and interactive, with Miro being our tool of choice – it's essentially a shared, real-time whiteboard that facilitates collaboration (We're Miro mad, just as we're zealous about Zoho!).

Once we've agreed on the design, WorkGrow can provide an 'Intelligent Estimate' for the full initial build.

What occurs during the 'Building and Implementing' phase?

This is our favourite part where we start crafting your bespoke Zoho system. We ensure your new system aligns flawlessly with your business needs, strictly adhering to our agreed designs and maps. As we construct the system, we actively involve you, incorporating your feedback and fine-tuning the design to match your exact needs. We understand that some aspects might take longer than expected while others might proceed faster, and we always account for these variations in our 'Intelligent Estimate'. The most crucial factor is that you're satisfied with what we're building, so we strive to maintain open communication and interaction throughout this phase. Whereas we can't deliver large changes in scope that increase the workhours beyond what has been purchased, we will always do our best to accommodate smaller changes within your available budget. 

What about the Training phase?

In the concluding phase, we concentrate on preparing you and your team to proficiently use Zoho. We aim to transform even the most tech-averse individuals into Zoho enthusiasts by providing comprehensive training and consistent support, ensuring a seamless transition to the new system.

How do you bill us?

Consequently, we've adopted a billing model that charges only for the exact time dedicated to your project, ensuring that you pay solely for the work executed.

In contrast to the often inaccurate fixed fee services, we lean towards providing 'Intelligent Estimates' for budgetary guidance, grounded in your project plan. This methodology provides a clear view of the projected time and cost involved. In line with this, we offer prepaid consulting packs, containing 'WorkHours' designed to align seamlessly with your project needs. (and yes, a WorkGrow 'WorkHour' does contain 60 minutes!)

After purchasing a WorkHours pack and topping up your credit balance, we conscientiously monitor the time spent on your project. We supply you with regular comprehensive timesheets, endearingly referred to as WorkHour statements. These statements detail each task undertaken towards achieving your project goals, specifying the exact time we dedicated to each task.

Our billing process underscores transparency, accountability, and provides a thorough breakdown of the work carried out. We are staunch advocates of cultivating trust and maintaining open communication throughout the project's lifespan.

What does it mean to be a credit-based consultancy

What is an 'Intelligent Estimate'?

At WorkGrow, we take a commercial approach to provide you with an educated estimate that ensures an accurate assessment of the delivery time and total cost required for your project. This estimate is based on a careful evaluation of your project plan quotation. Several key factors influence our inteligent estimate, including:

  • Analysis of historical timeframes for similar deliverables completed by our experienced business engineers in the past.
  • Availability of certified software engineers with expertise in your chosen platform and product, ensuring their dedicated allocation to your project.
  • Consideration of the complexity involved in executing your project.

When determining the timing of project delivery, we assume that you will be "actively responsive" to our ongoing requests for information. Being "actively responsive" means providing timely responses, preferably within the same or next business day. Prompt and efficient collaboration from our clients is crucial in ensuring that the delivery remains on track as per the educated estimate. Untimely responses may result in increased delivery time compared to the initial estimate.

While an educated estimate is not an absolute guarantee, it is a well-informed projection that is typically very accurate. However, it is important to note that predicting actual hours with complete certainty is impossible. There are numerous unpredictable factors that can influence the final hours required, and we do not possess a crystal ball to foresee them. The actual hours may vary, either higher or lower, and the precise figure will only be known upon completing each requirement of your project.

Depending on the availability of a "sandbox environment" in your chosen cloud software, we either work in this separate space or meticulously schedule our work on your live system to minimize disruption. We always initiate a full data backup before starting the transition, guaranteeing your data's complete safety.

Can you assist me in purchasing the licenses or upgrades I need for my project?
